MY CONTRIBUTION:

I facilitated kick-off meetings and conducted an ideation workshop to gain a deep understanding of the stakeholders' needs and requirements. I proposed various features that would benefit the company and actively contributed to designing the dashboard. Additionally, I drafted the onboarding manual to ensure a smooth and efficient user experience.

RESULT:

The new IT dashboard enhanced the management of software and hardware inventory, streamlined onboarding processes, and improved overall IT fluency within the organization. These changes led to increased operational efficiency and better resource utilization.

PROBLEM STATEMENT

How can we assist LEAF in inventorying hardware and software, improving file sharing systems, and managing email accounts and password security to develop a robust IT framework that supports scalability, ensures compliance, and enhances overall operational efficiency?

KICKOFF MEETINGS

RESEARCH

We began our project by conducting kickoff meetings with the client. It took a few meetings to fully understand their IT challenges and requirements. These sessions were invaluable in helping us envision the project and make informed suggestions for streamlining the IT dashboard.

IDEATION WORKSHOP

Our team collaborated with two other teams during the ideation workshop, enabling us to identify current challenges, brainstorm innovative solutions, and refine our focus areas effectively to align with project objectives.

After thoroughly reviewing all the challenges, we narrowed our focus to two key issues: outdated hardware and software, and digital literacy gaps.

Why are we addressing Inventory management & digital literacy gaps?

1 Limited IT knowledge among current staff members hampers operational efficiency and innovation among LEAF.

2 Without effective inventory management, critical resources may be underutilized, lost, or unnecessarily duplicated, leading to financial inefficiencies and operational bottlenecks.

DESIGN SOLUTION

DASHBOARD OVERVIEW

This section provides a comprehensive overview where employers can view all necessary information at a glance. It features a graph showing overall analytics, offering insights into the organization's performance. Additionally, it displays key financial metrics such as net worth and profits, enabling quick assessment of financial health. This centralized view ensures that crucial data is easily accessible and actionable.

SOFTWARE MANAGEMENT

This section is dedicated to managing all software used by the company. It lists each software application, its current status, and the expiry dates of licenses. There are direct links for software installation, facilitating easy updates and renewals. This organized approach helps in maintaining up-to-date software inventory and prevents the risk of using expired or unauthorized software.

HARDWARE INVENTORY

In this section, each hardware device is assigned a unique barcode. When scanned, the device details are stored in the system, creating a comprehensive hardware inventory. The system includes a filter feature to search for specific devices quickly and the option to add entries manually if needed. This method streamlines the tracking of hardware assets, ensuring accuracy and ease of management.

ONBOARDING GUIDE

This section serves as a complete guide for new employees. It outlines the company’s aim and objectives and details its policies. It also provides a directory of contacts for various queries and issues, making it easier for new hires to know whom to approach. This guide simplifies the onboarding process, helping new employees integrate smoothly into the organization while saving time and reducing confusion.
